How to Use Bulk Product Tools

Manage many listings at once instead of one at a time. Bulk Tools lets you:

1. Add new listings — fill a downloadable template and upload a whole batch.
2. Edit existing listings — export your current listings, change them in a spreadsheet, and re-upload.
3. Update credentials — bulk-replace the account/key credentials on your automatic-delivery listings.

The big picture

Every job follows the same shape:

Pick game × category → Download / Export a file → Edit it in Excel or Google Sheets → Upload it → Review what will happen → Apply

• You work one game × category at a time (e.g. Clash of Clans › Accounts). This is on purpose: each category has its own set of columns and feature options, so a focused file stays clean and validates correctly.
• Files are CSV or XLSX (Excel) — your choice. They’re interchangeable.
• Nothing happens to your live listings until you click Apply / Publish. The Review step is a safe preview — it changes nothing.
• Large batches process in the background — you can leave the page and your listings keep going live.

Recommendation: use Excel unless you have a reason not to — the dropdowns prevent most mistakes.

Required columns are marked with *. In the file you download, mandatory column headers end with an asterisk (e.g. title*, price*). The * is just a visual hint — you don’t need to keep it, and you can reorder or delete optional columns. Columns are matched by name, not by position.

The Valid Values reference. Every download includes a reference (the valid-values.csv file in the CSV zip, or the Valid Values sheet in Excel) that lists each column, whether it’s required, what kind of value it expects, and the allowed values for dropdown columns. When in doubt, check it.

Decimals use a dot, not a comma. Write 312.5, not 312,5. You can type thousands separators like 270,000 in Excel and it’ll work, but in a hand-edited raw CSV a comma can split the row — so when in doubt, just type 270000.

Lists use a pipe |. Multiple images, tags, or multi-select feature values go in one cell separated by a pipe (spaces optional), e.g. rare | fast | limited. We use the pipe (not a comma) because commas collide with CSV columns.

Job 1 — Add new listings

Use this to create brand-new listings in bulk.

1. Choose listings — pick the game and category.
2. Download a template — CSV or Excel. It contains exactly the columns for that category, plus one example row to show the format. (Delete the example row before uploading, or overwrite it.)
3. Attach images (accounts / items / keys only) — drag image files into the media tray. They upload immediately; in your file, reference each by its filename (e.g. hero.png). You can also paste full image URLs instead. (Currency & top-ups use an automatic cover image — no image step.)
4. Upload & validate — choose your filled file and hit Validate. You get a per-row report: ok, warning, or error, with the exact problem on each bad row. Download the fix-file (failed rows + an errors column), fix them, and re-upload.
5. Publish — creates every valid row. Rows with errors are skipped (fix and re-upload to add them later). Progress shows live; big batches finish in the background.
6. Attach credentials (automatic accounts / keys only) — see Update credentials below. Auto-delivery accounts publish as Draft until you attach credentials, then flip Active automatically — this prevents an empty account from ever going on sale.

Job 2 — Edit existing listings

Use this to change price, stock, descriptions, features, delivery times, tags, or images on listings you already have.

1. Choose listings — pick the game and category. The export pulls your current listings in that category.
2. Export & edit — download CSV or Excel pre-filled with your current values. Edit whatever you want in the spreadsheet, then save.
3. Upload edited file — and optionally drop replacement images into the tray.
4. Review changes — a per-row diff shows exactly what each row will change (old → new), with any errors flagged. Rows you didn’t change are skipped — only changed rows are touched.
5. Apply — your changes go live. Big batches finish in the background, so you can leave the page.

Crucial rules for editing:

• Never edit the product_id column. It’s the first column and it’s how we match each row back to your listing. Changing it (or clearing it) means that row won’t match.
• Deleting a row does NOT delete the listing. If you remove a row from the file, that listing is simply left untouched. (To delist, set its quantity to 0 or manage it from your Products page — bulk edit never deletes.)
• Category/game are locked. The file is scoped to one category, so you can’t move a listing to another game/category here — that’s a separate action.
• Only what you change is applied. Leave a cell as-is and it stays as-is. Blank an optional cell and it clears that field. (Required fields can’t be blanked — that’s a row error.)
• What’s in the file becomes the listing’s new state for the rows you change. So don’t delete columns you want to keep — leave the exported values in place.

Out-of-stock listings:

• Accounts / keys: sold (quantity 0) listings are not included in the export — a sold account is gone.
• Items / currency / top-ups: out-of-stock listings are included, so you can bulk-restock them (just set quantity again).

Descriptions: your rich-text descriptions are exported as plain text with line breaks so they’re easy to read and edit in a cell. If you leave a description unchanged, its original formatting is preserved exactly. If you edit it, it’s saved as clean paragraphs (bold/italics/lists from the rich editor are flattened — for fancy formatting, edit that listing on-site instead).

Job 3 — Update credentials

Use this to bulk-replace the login details / license keys on your automatic-delivery account & key listings. (Manual-delivery listings don’t use this — you deliver those by hand.)

How it works, and why it’s separate:

• Credentials are never mixed into the public listing file. They live in their own secure upload.
• Existing credentials are never exported. The template you download has your listings’ product_id and title (for reference) plus blank credential fields — you fill in the new values.
• On apply, credentials are encrypted right away and the uploaded file is deleted right after it’s processed — your raw login details are never left sitting in storage.
• Editing credentials on a Draft auto-account (one published without credentials yet) flips it Active.

Two places credentials get attached:

1. Right after a bulk Add — the Add flow offers a credentials step that matches by the sku you used in your listing file.
2. Anytime, via Update credentials — matches by product_id against your existing automatic listings.

The picker for this job only shows account/key categories (it hides currency/items/top-ups, which don’t use credentials).

Filling the file: every column explained

The exact columns depend on your category — your download’s Valid Values reference is the source of truth. Common ones:

Column	What to put
product_id	(Edit only) Don’t touch — it identifies the listing.
sku	(Add only) Your own row label, e.g. ROW-001. Used to attach credentials later. Must be unique in the file.
title	Listing title.
description	Listing description. Plain text; line breaks are kept.
price	Price in USD. Decimals OK with a dot (12.5).
quantity	Stock count. Accounts/keys have no quantity column — they’re always 1 (sold individually).
discount	Percentage 0–100 (whole number).
minimum_offer_quantity	(Items/currency) smallest quantity a buyer can order.
currency_amount + unit	(Currency) the amount and its unit — see below.
selected_amount	(Top-ups) pick the top-up package from the dropdown.
delivery_method	Pick from the dropdown (e.g. Automatic, Manual, or a trade method). Automatic = instant delivery for accounts/keys.
delivery_time_online / delivery_time_offline	Guaranteed delivery time shown to buyers depending on whether you’re online. Pick from the allowed values.
images	Pipe-separated filenames and/or URLs (see Images below).
tags	Pipe-separated tags, e.g. rare | fast.
feature:<name> columns	One per category feature. Pick the label from the dropdown. Boolean features use Yes / No.
volume_discount_tiers	Tiered pricing in one cell — see below.

Currency amounts with units. Instead of typing 5000000, use the unit column: 5 + M. Supported units: Unit, K, M, B, T, Q (thousand, million, billion, trillion, quadrillion). Decimals work: 1.5 + K = 1,500.

Volume discount tiers go in a single cell as Qty:<n>,Pct:<n> segments separated by a semicolon, e.g. Qty:5,Pct:1;Qty:10,Pct:2;Qty:25,Pct:5 = buy 5+ get 1% off, 10+ get 2% off, 25+ get 5% off. Quantities and percentages are whole numbers (0–100 for percent).

Images

Three ways to provide images — all end up safely hosted on PlayerBay:

1. Upload a file (media tray). Drag images into the tray in the upload step, then reference each by its filename in the images cell (e.g. hero.png). Works in both Add and Edit.
2. Paste a URL. Put a full https://… image URL in the images cell. We download it and host it on PlayerBay, so your listing never depends on another site staying online.
3. Keep existing images (Edit only). Your export already contains your live image URLs (pipe-separated). Leave them to keep them; reorder or remove them to change the gallery.

You can mix them in one cell, e.g. hero-replaced.jpg | https://media-cdn.playerbay.com/products/abc/existing.jpg — the filename uses the file you dropped in the tray, and the existing PlayerBay image is kept as-is.

• Currency & top-ups have an automatic cover image — no images column, no tray.
• A filename in your file that you didn’t drop in the tray is skipped with a warning (the row still goes through).
• Removing an image in Edit takes it off the listing.

Limits

• Up to 2,000 rows per file.
• Up to 5 MB per file.
• Need more? Split into multiple files and upload them in sequence.

Tips & tricks

• Start from a fresh template/export every time. Columns and feature options can change per category; an old file may not match.
• Use Excel for the dropdowns. They stop most errors before you upload (valid delivery methods, feature options, Yes/No, units).
• Validate first, fix, then publish. The preview report + downloadable fix-file is the fastest way to clean a big batch — fix only the failed rows and re-upload; rows you already published won’t be created again.
• Re-uploading is safe. Running the same file twice won’t create or apply duplicates — if a big batch gets interrupted, just upload it again.
• Repricing/restocking is the fastest win. For Edit, you can ignore every column except price / quantity — unchanged rows are skipped entirely.
• Keep product_id and (for credentials) sku intact. They’re how each row is matched to the right listing.
• Currency sellers: lean on the unit column (5 + M) instead of typing long numbers.
• Bulk-stock automatic accounts in two passes: upload the listings (they go Draft), then upload the credentials file — they flip Active automatically and can never sell empty.

Troubleshooting

Symptom	Cause / fix
“No listing of yours matches this product_id”	You edited/cleared product_id, or the listing isn’t in this category. Re-export and edit that file.
A row split into the wrong columns (CSV)	An unquoted comma inside a value. Use Excel, or avoid commas (decimals use a dot; thousands 270000 not 270,000).
Delivery method / feature rejected	The value isn’t in the allowed list. Use the Excel dropdown or check the Valid Values reference for that category.
An image didn’t appear	A filename wasn’t in the media tray, or an external URL couldn’t be fetched. Check the warning on that row.
Description rows look tall in Excel	Multi-line descriptions; the column is wide and the row is kept compact — click the cell to see/edit the full text.
Yes/No feature errored in Google Sheets	Type the words Yes / No (not TRUE/FALSE).
Automatic account is “Draft” after publishing	Expected — attach credentials and it flips Active.
“File is too large” / “too many rows”	Over 5 MB or 2,000 rows. Split the file.

FAQ

Does deleting a row in the edit file delete my listing?
No. Omitted rows are left untouched. Bulk edit never deletes listings.

If I don’t change a row, will anything happen to it?
No. Only rows you actually changed are applied; the rest are skipped.

Can I change a listing’s game or category in bulk edit?
No — the file is scoped to one category. Move listings individually from your Products page.

Do I have to fill credentials in the listing file?
Never. Credentials are a separate, secure step and are always encrypted.

Can I edit by URL only, or do I have to upload image files?
Either. You can keep/replace images purely by URL, or drop files in the tray and reference them by filename — or mix both.

CSV or Excel — does it matter?
Functionally identical. Excel adds dropdowns and is safer against stray-comma issues; CSV is lighter for power users.
